Description

Background
Markhaven Home for Seniors is a 96-bed, not-for-profit long-term care home in Markham, Ontario. In 2017, Markhaven entered a three-year partnership with RNAO as a Best Practice Spotlight Organization (BPSO) and achieved designation status in 2020. While many individuals have contributed to shaping the program’s vision and execution, maintaining continuity in BPSO leadership has been a challenge. Through the strategic and consistent use BPSO supporting documents and our BPSO coach, we have been able to effectively navigate leadership turnover.

Aim/Purpose
With multiple Best Practice Guidelines (BPGs) implemented, our goal is to ensure continuity and reinforce that the BPSO program remains strong regardless of leadership changes. We intentionally integrated the BPSO coach role to maintain alignment with deliverables, sustain RNAO visibility, and support incoming leads. This approach demonstrated that BPSO remains a priority and that new leads are well supported.

Process
Leadership transitions occurred at various stages of the BPSO journey, bringing both challenges and new perspectives. Using the expertise of the BPSO coach and champions, we developed standardized onboarding tools and processes for new leads. To ensure seamless transitions, we maintained champion engagement and embedded regular coach meetings for accountability. The coach supported the development of practical resources, including BPSO deliverables summaries and a NQuIRE cheat sheet. A key strength of this approach is its structured, documented process, which ensures stability and builds on previous work.

Results
This approach reduced stress and uncertainty during onboarding of new leads. BPSO structure, documents and expectations were effortlessly transferred from lead to lead without disrupting the timeline of BPSO deliverables.

Lessons Learned
Having a detailed succession plan that incorporates an internal onboarding process and guided by our RNAO coach is crucial for minimizing uncertainty and ensuring the continued success of the program.
